. Rename a section by typing in its box, move it with ↑ ↓, hide it with × (its content is kept, and ↩ Show brings it back) and add your own with + Add section. What is a project management plan?

A project management plan is the single document that says how a project will be run: what it delivers, when, for how much, by whom, how quality, risk and communication are controlled, and what is bought in. This template follows that structure in 10 sections.

Is this project management plan template free?

Yes. It is free, needs no login and no upload. Everything you type stays in your browser, and you save the plan as a .json file on your own computer.

How do I get a PDF of my project management plan?

Press Generate Plan Document. It asks for your cover page picture and the annexures, then opens a formatted plan with a contents list and every section. Choose Save as PDF as the printer in the print dialog.

How does this connect to the other project management tools?

Sections that are better handled by a dedicated register, such as the Gantt chart, risk register, change orders, correspondence and cash flow, link straight to those free tools. The plan lists them, and you keep each register in its own tool.

How to use the Project Management Plan builder

Everything runs in your browser. Nothing is uploaded. Follow these steps in order.

See a finished example

Press Load Sample Project. The ten sections fill with a sample highway project so you can see what each one holds. Replace it with your own entries as you go.

Fill in the document details and project details

Start with Document Control: your company name and logo, the revision history, who the plan is issued to, who approves it and the important notice. Then fill in section 1. These details appear on the cover and document control pages of your plan.

Write the narrative parts and fill the registers

Text boxes (scope, exclusions, communications protocol and so on) are for plain writing. Registers are tables: press + Add row, click any cell to type, and use the × at the end of a row to delete it. Contract deliverables with due dates build the milestone list in 3.1 by themselves.

Use the linked tools for the big registers

Risks, the programme, change orders, correspondence and cash flow have their own free tools. The blue cards open them in a new tab. Keep that data there. Each tool card shows its annexure, for example ✓ Annexure B: every linked tool is an annexure by itself, and a click on the label leaves it out of the plan document (or puts it back). Save the tool's report as a PDF in its tool folder and put it behind its separator page.

Pictures, standard wording and annexures

  • Pictures: several sections have a Choose picture button for a figure such as the project plan, WBS, organisation chart or a sample letter. Pictures are resized to keep the saved file small.
  • Insert standard wording: boxes such as the communications protocol and the project execution notes have a button that fills in neutral starter text for you to edit.
  • Annexures: the last panel lists the outputs of your tools. Each annexure starts a new page in the plan document.

Project File Management

Press 🗂 Project File Management for everything about your project and its folder. The window shows the current project, its folder, the last Excel export and the tool files, and then:

  • Project: 📁 New Project Folder starts a new project folder; 📂 Open Existing Project opens one and loads the plan saved in it (it asks first; if there is only a workbook, the workbook is imported); 🔄 Reload Plan from Folder loads the current folder's plan again, for example after working on another computer.
  • Save and exchange: Save Plan, Export to Excel and Import from Excel, all working in the project folder (old versions are kept as .previous).
  • Tools: Import Tool Files brings the tools' tables into the plan; Refresh Tool Figures shows their row counts and key figures.
  • Folder path: browsers never tell a web page where a folder is (drive and path), only its name. Paste the path once from File Explorer's address bar into Folder path on your computer; it is kept with the plan as its File location and shown in the project bar and in Recent projects.
  • Recent projects: one click switches to a project you used before. The × removes it from the list only; the folder is not touched.
  • Files in the project folder: every file with its date and size, so you can see what was saved and when.

The bar under the toolbar always shows the project you are working on. The page remembers it, so next time you carry on where you stopped.

Create the project folder

In 🗂 Project File Management press 📁 New Project Folder, choose where your projects are kept, then type the folder name. The page creates that folder with one subfolder for each tool (Gantt, Risk Register, Actions, Variation Orders, Cash Flow, Correspondence and RFI), each holding the CSV file that tool imports, plus an Excel workbook with the same tables and your saved plan. A 00_PMP folder holds one CSV for each register of this plan. Your deliverables, internal deliverables, mobilisation, tasks and billing fill the Gantt and Cash Flow files; the project details fill the header of every tool. The Risk, Action, Variation, Correspondence and RFI files hold example rows in the sample project only, and just the heading row in a real project. Each tool then imports its file with its PMP Data Import button. Files that already exist are never overwritten. Chrome and Edge write the folder directly; other browsers download it as a zip file to unzip.

Work in a tool and come back

A tool card opens the tool in a new tab with an orange PMP panel at the top. The panel holds three buttons: ← Return to PMP, 📁 PMP Data Import and 📁 PMP Data Export. The first time, the panel asks you to choose the project folder; it then remembers it for the other tools too (press Change to pick another). Import loads that tool's file and fills its project details. Export saves the tool's table back into the project folder (the old file is kept as .previous.csv). Return asks you first if you changed the tool since the last import or export. Back on this page, press 🔄 Refresh from Project Folder; the Data for the Tools panel then shows the row counts and key figures, and the plan document gets a Register Status Summary page. Tools opened any other way show no PMP panel, only a small link at the bottom to switch it on. To bring the tools' tables themselves into the plan (so Export to Excel includes, for example, a risk you added in the Risk Register), press ⬆ Import Tool Files: it shows how many rows each tool file holds and asks first.

Work on the plan in Excel

  • ⬇ Export to Excel (.xlsx) saves the whole plan as one workbook, one tab per table (project info, registers, narratives, annexures and the seven tool tabs). When a project folder is set (Create Project Folder, or Change in the Data for the Tools panel), it is saved there as <project>_PMP_Input.xlsx and the old version is kept as .previous.xlsx; if that workbook was edited in Excel since your last export, the page asks first. Without a project folder it goes to your downloads.
  • ⬆ Import from Excel (.xlsx) brings a workbook back into the page (the file dialog opens in the project folder when one is set). It lists the tabs it will replace and asks first. A tab with rows replaces that part of the plan; Project Info and Narratives copy only the cells you filled; empty tabs are ignored.
  • To start in Excel from scratch, press + New Project and then ⬇ Export to Excel (.xlsx), or download the blank workbook. To see a filled example, download the sample workbook.

Keep one file per project and import the version you last edited: the page does not merge two edited copies. Pictures (logo, signature, figures) are not held in the workbook; they stay on this page.

Fit the sections to your PMP requirements

Press ✏ Customise Sections. One page lists only the section headings:

  • Type in a box to rename a section; ↑ ↓ move it.
  • × hides a section: it leaves the page and the plan document, and the rest are renumbered with no gaps. Nothing is deleted: ↩ Show brings it back with its content.
  • + Add section (between the headings) adds your own section; 🗑 deletes one of your own (it asks first). Section 1 is always included.
  • Save as my standard layout makes New Project start with your layout; Reset brings back the original 10 sections for this plan.
  • Standard wording: a new plan starts with standard text for the Document Control statements, a short introduction under each section, the procedure parts (design, communications, document control, administration, HSE, environment, performance, closeout) and one sentence for each tool-linked part. Words in [brackets] are yours to replace; {company}, {project name} and {frequency} are filled in by the plan document. Insert standard wording puts it back; Insert example gives a starting text for project-specific parts such as the scope. Edit the wording to your company's procedures once and press Save as my standard wording: every new plan then starts with your text (Site wording goes back to ours).

Then, on the page, a new section shows + Add part for a text box, a table (you name the columns, then add rows) or a picture. ✏ Parts in any section header lets you add parts there too and switch its parts on or off.

The layout is kept with the plan and travels in the Excel workbook: your own texts go in the Narratives tab and each of your own tables gets its own tab.

Track progress

Set each section to Not started, In progress or Complete. The counter at the top shows how many sections are complete.

Save your plan and open it later

💾 Save Plan (.json) saves everything in one file. 📂 Load Plan opens it again on any computer. The note beside the Save button tells you whether you have unsaved changes.

Autosave in browser keeps your work in this browser only. It is not a backup. Use Save Plan for that.

Print or produce the plan document

  • 🖨 Print / Save as PDF prints this page as you see it.
  • 📝 Generate Plan Document (PDF) first shows one page to choose what goes in: choose your own cover page picture (a full A4 page), and pick the annexures (× leaves one out, ↑ ↓ reorder, + Add annexure adds your own such as a location plan or sketch, with its picture). The annexure list holds every tool linked in the plan's sections (in PMP order to start with) and your own annexures (+ Add annexure here, such as a project location plan or sketch, with its picture); ↑ ↓ move any row, and the letters A, B, C follow the list. × leaves one out. Other project management tools (the pull-down) adds a tool the plan does not use. Each annexure is printed as a separator page (ANNEXURE A, then its title and where the plan refers to it); after saving the PDF, insert each annexure's own pages behind its separator with your PDF program.
