About this project closeout & handover tracker tool
This tool builds a project closeout and handover register directly in the browser, for project managers, document controllers and consultants who need a single checklist of everything required to hand a completed project over to the client.
Logging closeout deliverables by category and responsible party
Each entry records the deliverable name, its category — as-built drawings, O&M manuals, warranty, certificate, punch-list item, final handover or other — and the party responsible for producing it: contractor, consultant, client, sub-contractor or other.
Tracking submission and approval against target dates
Set a target date on each deliverable. Once it is marked approved the item is closed; if the target date passes with no approval it is automatically flagged overdue, so nothing required before handover is missed in the final rush of a project.
What the summary reports
- Total closeout items logged
- Approved and closed
- In progress or submitted, awaiting approval
- Overdue
- Rejected
- Overall completion rate
Getting data in and out
The tracker saves as a project file to reopen later, exports to CSV for further analysis or a handover file, prints directly as a PDF, and can generate a full detail report with every deliverable and remark written out in full. For tracking the underlying defects before closeout begins, see the punch list / snagging tracker, or for statutory approvals, the permit & NOC tracker.
Frequently asked questions
What is a project closeout and handover tracker?
It is a register of every deliverable needed to close out a construction project and hand it over to the client — as-built drawings, operation and maintenance (O&M) manuals, equipment warranties, statutory and testing certificates, outstanding punch-list items, and the final handover itself.
What documents are typically required for project closeout?
Common closeout documents include as-built drawings reflecting the completed work, O&M manuals for installed equipment, manufacturer and installer warranties, test and commissioning certificates, statutory compliance certificates, and confirmation that all punch-list items have been closed.
How is an overdue closeout item identified?
Each closeout deliverable can carry a target date. If that date has passed and the item has not been marked approved, it is automatically flagged overdue, so nothing required for handover is left outstanding without notice.
Who is typically responsible for closeout deliverables?
The contractor is usually responsible for compiling as-built drawings, O&M manuals and warranties, while the consultant reviews and approves them on behalf of the client. Certificates may come directly from testing authorities or equipment suppliers.
Can the closeout tracker be exported for a handover report?
Yes. The tracker can be exported to CSV, saved as a project file to reopen later, printed directly to PDF, or turned into a full detail report listing every deliverable and its status for a formal handover or project completion report.
